Ireland Attendance Policy

Rationale & Scope of the Policy 

This Attendance Policy has been designed in compliance with the requirements of Immigration Service Delivery (ISD) to ensure EC English Language Centres maintain clear, fair, and consistent attendance monitoring procedures.

For the purposes of this policy:

A class is defined as a group of students

A lesson is defined as a 90-minute teaching session

1. Attendance

1.1 Students are expected to attend all scheduled lessons. Immigration regulations require students to maintain a minimum attendance of 85% over the duration of their course.

1.2 If a student is absent for two consecutive days, or a pattern of non-attendance develops, teachers must inform the Director of Studies (DoS). A member of the school team will contact the student to establish the reason and remind them of attendance requirements.

1.3 The school will report any non-EEA visa student:

  • whose attendance falls below 85%, or
  • whose attendance record indicates they are at risk of not achieving 85%.

2. Recording Attendance

2.1 Teachers must record attendance digitally and on paper using Present (P), Late (L), or Absent (A).

2.2 The Academic Office checks records weekly for accuracy.

2.3 Attendance records will be retained and made available for inspection.

3. Sickness

3.1 Absences due to illness will follow the Sick Leave Policy.

3.2 Documented medical or exceptional circumstances will be considered in line with ISD guidelines.

3.3 Bereavement-related travel may allow for course adjustments.

4. Excused Absences

4.1 Must be requested in advance with evidence.

4.2 Count as absences for attendance calculation.

4.3 Allowed only for religious observance or official appointments.

4.4 Must be approved by DoS or Centre Director.

5. Punctuality

5.1 Over 15 minutes late = marked absent.

5.2 3 late arrivals = 1 absence.

5.3 Leaving early >15 mins = absence.

6. Attendance Monitoring

Warnings issued at:

  • Below 87% attendance
  • 5 consecutive days absence

Escalation:

  • Verbal warning
  • 1st Written warning
  • 2nd Written warning
  • Final warning (risk of expulsion)

Non-EEA Students:

  • Reported if below 85% or at risk
  • Early intervention below 75%
  • May impact immigration status
